Troubleshooting “Shared Drive not appearing in File Stream”

When using Google Drive for Desktop (formerly Drive File Stream), personal “My Drive” folders typically mount without issue, while one or more corporate Shared Drives may fail to appear in Windows File Explorer or macOS Finder. This problem occurs when client-side UI visibility filters are active, local metadata caches become desynchronized, or account authentication states drop. Resolving the issue requires determining whether the Shared Drive is hidden in your Google account preferences or blocked by local sync errors.

Quick Answer

Confirm that the Shared Drive is visible at drive.google.com and not collapsed under Hidden shared drives. If visible on the web, restart Google Drive for Desktop, pause and resume syncing, or clear the application’s local cache directory in %LOCALAPPDATA%\Google\DriveFS (Windows) or ~/Library/Application Support/Google/DriveFS (macOS).

Diagnostic Step 1: Verify Web Interface Visibility

Before troubleshooting local desktop software, confirm that your Google Workspace account currently has access to the Shared Drive in the cloud.

  1. Open a browser and sign in to drive.google.com.
  2. Select Shared drives in the left rail.
  3. If the missing drive does not appear in the main grid, look at the upper-right corner for a dropdown labeled Hidden shared drives.
  4. If the drive is hidden, right-click its card and select Unhide shared drive.
Web-to-Desktop Synchronization Flow:
[drive.google.com] ──> Drive marked "Hidden" ──> Excluded from desktop client index
       │
       ▼ (Drive unhidden)
[Google Drive for Desktop] ──> Mounts virtual folder (G:\Shared drives\[Drive Name])

Google Drive for Desktop automatically ignores drives that are hidden on the web to save local memory and reduce sync overhead. For details on managing web-tier visibility, see Troubleshooting “Hidden” Shared Drives.

If the drive does not appear on the web at all, your membership may have been revoked or your organization may have altered licensing tiers. See How to Fix Disappearance after License Downgrade.

Diagnostic Step 2: Verify the Authenticated Desktop Account

Google Drive for Desktop supports multi-account sign-in, which frequently causes directory confusion:

  1. Click the Google Drive icon in your Windows taskbar or macOS menu bar.
  2. Click your profile avatar in the upper-right corner of the flyout.
  3. Verify that the client is authenticated to your corporate Google Workspace email (user@company.com) rather than a personal Google account (user@gmail.com). Personal accounts do not have access to organizational Shared Drives.
  4. If multiple accounts are signed in, check whether Windows assigned separate virtual drive letters (e.g., G: for personal and H: for work).
  5. If drive letters conflict or fail to mount, consult Error: “Mount point already in use” (Drive Letter Conflicts) and Fix: Google Drive Not Showing Up in Windows File Explorer.

Diagnostic Step 3: Refresh Sync and Rebuild Local Cache

If the drive is unhidden on the web and the correct account is authenticated, the desktop client’s local SQLite database is likely failing to register remote folder updates.

1. Force a Sync Refresh

  • Click the Google Drive tray icon, select the Settings (gear) icon, and click Pause syncing.
  • Wait 15 seconds, open the settings menu again, and select Resume syncing.
  • For more troubleshooting steps on sync locks, review Fixing Shared Drive Sync Failures in Drive for Desktop.

2. Clear Local Cached Metadata

If pausing and resuming fails to force a directory refresh, purge the local metadata cache:

  1. Exit Google Drive completely (Settings gear > Exit).
  2. Navigate to your operating system’s configuration directory:
    • Windows: Press Win + R, type %LOCALAPPDATA%\Google\DriveFS, and press Enter.
    • macOS: Open Finder, press Cmd + Shift + G, paste ~/Library/Application Support/Google/DriveFS, and press Enter.
  3. Open the folder corresponding to your 21-digit account profile ID.
  4. Delete or rename the metadata_sqlite_db file.
  5. Relaunch Google Drive for Desktop.

The client will perform a clean synchronization pass with Google’s servers, re-indexing and mounting all active Shared Drives. For detailed cache maintenance instructions, see How to Clear Google Drive Local Cached Files Safely.

Diagnostic Step 4: Administrator and Policy Audit

If the drive still fails to populate across multiple computers in your organization:
